Extensive use of external examiners at ITU
The vast majority of exams at ITU involve an external examiner.

Under existing laws at least one-third of a programme's total ECTS points must be covered by external examinations.

The external examiners are members of one of the groups of external examiners ("censorkorps") that the study programmes at ITU are affiliated with.

The two primary groups of external examiners are:
IIM - Censorkorpset for Informationsvidenskab og Interaktive Medier
D - Censorkorpset i Datalogi

In addition to this, there is a third group:
Censorkorpset for Erhvervsøkonomiske Uddannelser
NB: The third group can only be used for exams at the MSc in E-Bussiness programme

Programme affiliation
Each programme at ITU is affiliated with one group of external examiners. In a few instances the programme is affiliated with more than one group (see table below).
Only external examiners from the affiliated group may function as external assessors at exams taking place within the given study programme.

If you have doubts about which group of external examiners you are supposed to pick from for a course exam, check the course description in the course base to see which study programme the course is linked up with.

For project and thesis exams it is the student’s study programme that decides which group of external examiners you are supposed to use.

Practicalities
As part of the exam planning, name and group affiliation of the external examiner must be reported to Student Affairs and Programmes upon request, so that relevant material can be sent and remuneration be paid to the external examiner in question.

For courses: it is your responsibility as the examiner to contact and book a qualified external examiner in accordance with the assigned group of external examiners (see table further below). Please start looking for an external examiner in good time, as it may take a while to get things settled. Check Course exam step-by-step for more information.

For project and thesis exams: SAP is responsible for booking external examiners for all project and thesis exams. Information for examiners is outlined under “Procedures for Project and Thesis Exams, Winter 2017”.

If you are in need of a suggestion for/recommendation of external examiners for your exam, you might, however, start with your colleagues or the Head of Programme, who will often be of more help when it comes to previous experience with different external examiners.
Collaboration with external examiner
It is crucial that the external examiner gets the necessary information to do a competent assessment.

It is also crucial that the external examiner gets involved before the exam and is invited to give feedback on exam questions and, perhaps, on other relevant reflections with regards to the exam. The external examiner is expected to do this - it is part of the job.

The information task is shared by the examiner and Student Affairs and Programmes.

For Courses:

It is the examiner’s task to inform the external examiner of:

  • exam date, time and location
  • level of education (BSc, MSc etc.)
  • study programme (Games, DDK, SWU etc.)
  • number of ECTS
  • exam form
  • course syllabus
  • intended learning outcomess

It is Student Affairs and Programmes' task to inform the external examiner of:

  • remuneration
  • grading

For Projects and Theses:
It is the examiner’s task to inform the external examiner of:
  • exam form
  • intended learning outcomes
  • level of education (BSc, MSc)
  • study programme (Games, DDK, SWU etc.)
  • number of ECTS

It is Student Affairs and Programmes’ task to inform the external examiner of:
  • exam date, time and location
  • remuneration
  • grading

Ad hoc appointment of external examiners
In rare instances it can be necessary to apply for ad hoc appointment of an external examiner who is not a member of the affiliated groups. This is the case if none of the qualified members of the affiliated groups can do the job, or if very specific competences not represented by any member are required. Be aware, though, that you cannot expect the external examiner to be a 100 % expert on the topic of the specific exam. Thus the ad hoc appointment will not be approved, unless the competences required are not even remotely represented by existing members of the group.

It is the chairman of the respective groups who approves ad hoc appointments of non-members. Non-members are usually ad hoc appointed for one specific exam and cannot be used for several exams over a longer period of time.

How to get someone ad hoc appointed for your exam
If the conditions for an ad hoc application are present (see above), please send an e-mail to sap@itu.dk with the following information:

  • The exam concerned (which study programme, which course/project/thesis etc.)
  • Name of the candidate
  • Current place of employment
  • Current position
  • Contact info (ordinary mail address + e-mail address + possible web address)
  • Brief description of academic skills and why they are needed for the exam in question
  • The resume of the candidate

Student Affairs and Programmes will pass on the application to the relevant chairman and get back to you with an answer as quickly as possible.

Long-term appointment of external examiners
If you experience that the current members of the affiliated groups do not cover crucial subject areas, it is possible to suggest new candidates for the groups in connection with the official appointment sessions that take place every four years.

When such a session is coming up, Student Affairs and Programmes and/or Head of Studies will contact all relevant Heads of Programmes and ask them to gather suggestions for new candidates from their corner of ITU. If the Heads of Programmes already have a number of suggested candidates in stock, it will ease the process and secure that the actual needs for new skills are addressed when the possibility is there.

If you are going to suggest a new member of one of the affiliated groups, be aware that the conditions below must be met:
  • A candidate can only be proposed if ITU expects to use him or her as an external examiner. Consequently the candidate cannot be an employee at ITU.
  • A candidate from an educational institution must as a minimum hold a position as lecturer (PhD students, for instance, will not be considered), while candidates from "aftagerinstitutioner" (i.e. private companies etc.) must hold corresponding qualifications (i.e. they must have solid experience and documented specific competences).
